fall for the 2008 Jonas User Groups! The User Group is an annual
meeting hosted by Jonas Software to contribute to the increasing
requirements for on-demand learning. User Groups are an ideal
opportunity to acquire new skills, improve productivity, share
experiences with peers and learn how to get the most from your Jonas
Software.
Based on
your
feedback from the 2007 User Groups, we will provide a forum of
support to professionals of all levels and give you

training
to accommodate all facets of your business. There will be
separate sessions for service billing and job costing with a strong
focus on high-level training for
administrators,
controllers, owners and project managers.
The sessions
will be structured in a flexible fashion allowing those clients who
operate in both industry types to attend both sessions.
This is a great
opportunity for you to keep up-to-date with the latest software
developments, review best-practices, participate in product
development focus groups, meet with Jonas Software staff and network
with other experts in your industry. This will be a one-day event
with new break-out sessions aimed to drive your knowledge and

don't have to wait any longer!!
We are currently releasing CD's to our clients for Version
11.8. This general release will help you grow and benefit
from greater functionality with your Jonas Software by
providing a seamless migration path. We anticipate a
dispatch of 11.8 to all clients by the end of June 2008.
Your Jonas Software system update may include modifications,
new or revised settings, key features and other items which
will change your current system. We encourage you to check
the release and enhancement notes from time to time for
software updates and to always maintain your system to use
the latest release of the software. (Administration>Release
Enhancements)

How do I close out my Work Orders that have been
fully billed and costed?
Once you have fully completed entering your costs and billings on a
particular Work Order, it may be removed from the current file and
transferred to the History file.
Prior to doing this transfer, you should be aware that once the Work
Order has been "closed out", it cannot be "reinstated" back to a
"current" status. It is therefore suggested that if you run any month
end reports using the current Work Order list, you keep the Work Order
on file until the report has been completed.
Once you have decided that the Work Order may be closed, there are two
ways to close it:
• Manual - you choose which Work Order to close.
• Automatic - you must set the option flag in the Work Order Profile >
Options screen - first field to "Y" to activate this feature. After
activating this feature, run "Close Out Work Orders". The program will
give you an option to allow automatic close-out of the Work Orders that
have been invoiced and will display the invoiced Orders on your screen.
NOTE: If a Work Order has open Purchase Orders on file, the program will
not close-out the Work Order. You must declare the P.O. as complete
before you can close out the Work Order it is tied to. All Work Orders
chosen for close-out will then be removed from the current list, and the
associated information setup in the History files.

How do I create change orders and have the system automatically
create more than one Progress Billing line per Change Order?
(Only for Version 11.8 and higher)Step 1
Turn on the flag in Job Costing > Files > Costing System Profile > User
Option “Reg C/O’s: Also update Progress Billing”

Step 2
The 2nd flag is only for those clients that have purchased
Comprehensive Change Order M’gmt. It is in Job Costing > Change Order
M’gmt > System Profile/Terminology “PB Update Numbering Sequence – 9000
Series".
Since the system is capable for creating more than one Progress Billing
Line per C/O you must use the 9000 series for numbering. This will be
automatic for those clients that do not have Comprehensive Change Order
M’gmt.

Step 3
To use this feature, go to Revisions to Estimate/Change Orders.
Select the Cost Item for this job by pressing F2. To select a cost item
from another job, press F11.
You will be prompted for the job number and the cost item. Say ‘Yes’ to
copy the estimate as well. It will automatically copy this cost item to
the job you are on.

Step 4
After the selection of a cost item you will prompted for the number of
Units. The system will multiply the number of units x the cost and
revenue estimate to get the value of the change order. The job estimate
will be updated with these values and a progress billing line will be
created automatically. It will use the revenue estimate as the value.
If you don’t have a revenue estimate for the cost item simply enter one
and the system will use that value for the progress billing line.

To create multiple lines on the Progress Billing schedule with one
change order repeat this process on the available line. |

Tip of the Day
Do you hate typing the same address over and over? Save time by using
the "Short form addresses" feature found in the tools menu bar.
Step 1
Select "Short Form Addresses" found in the tools menu and select "Add a
New Code"..

Enter in a code that is easy for you to remember. Type in the
description associated with the code.

Step 3
In the Address line found in
Setup/Edit Customer info, you can type is the code initial
established in Step 2. This can also be used in Accounts Payable when
setting up suppliers.

Press enter to have the "description" populate. In the following
example, the code "MS" populated the description "Mississippi".

IS IT TIME FOR YOUR NEXT
UPDATE???
It is important for Jonas users to be performing Product
Updates on a regular basis to ensure that you keep your Jonas Software current
and problem-free. Check the website weekly as a new download is available
every Tuesday and install it immediately.
CURRENT VERSION
The current version for Jonas Software is 11.6.
HOW TO UPDATE??
There are two procedures to choose from to obtain the latest Release.
-
Downloading from the Website.
- Installing the Product Update from a CD.
Before You Begin:
Determine the version of Jonas that you are
currently running. If you are unsure, open Jonas and check the version number
located in the bottom right hand corner of the screen. Ex. Version 11.6.034 (the
release .034 indicates the release level).
Downloading
the Product Update from the Website
-
Click on the Product Update that matches the version of Jonas
software you are currently running. (Ex. 11.4 or 11.6) You cannot change
versions via the website, only by loading a CD. Note that you might have to be
above a specific Release level to be able to run a Product Update from the
website. Notes at the side of the Product Update will tell you this.

Choose the Save option. You will be presented with the
SAVE AS screen display below. Save the Product Update in the X:\GJCWIN\CUSTOM
directory (where the X: is the logical drive letter that contains the Jonas
programs - usually J:). Note: This is just a suggested directory, but not a
mandatory location to save the Product Update. Then you can open and run it.
After successful installation, log off Jonas and log back in order for the
changes to take place.

Installing
the Product Update from a CD
Advanced Release versions do require all users
to be out of Jonas for the introduction of new data structures. Loading an
update from a CD sent by Jonas will always require all users to be out of the
system regardless of the version.
-
Jonas recommends that if you are installing on
a network that the Product Update be installed from a workstation. However, if
installing the Jonas Product Update via Citrix or Terminal Server, it must be
installed at the server console.
Note: Some operating systems, for example
Windows 2000, may require you to log onto the server with full administrator /
supervisor privileges.
- Locate the Product Update using any technique (e.g.
Windows Explorer or via the Run command on the Start button). Double click on
the saved PUxxx.exe file.
- Wait 5 – 20 seconds and a window will
appear. Step your way through the Welcome screens by clicking on Next.
- Choose the Destination Directory. If
the drive is not correct, please select browse and indicate the correct
location. When the correct path is shown, click on Next.
- The Installation Complete screen will appear upon
completion of the installation.

Click on the Jonas for Windows icon. The program will
automatically start rebuilding the screens and data files.
