Tips for Logging your call!

We want you to be successful with our software. We realize that if your software doesn't appear to be working properly, or if you are unable to figure out how to do something it can be very stressful, especially if you have deadlines with customers. All you want is HELP!

Helping you keep your business running is our goal. There is also a lot you can do to help yourself and to prepare for getting the most out of your support call. The following is a set of tips for your call with a Customer Support representative.
 

Before Your Call

  • Fully familiarize yourself with the issue.

  • Make sure you have downloaded the most recent updates.

  • Make step-by-step notes of what you tried to do, and what happened as a result.

  • Try to repeat the process in your test company. If you are able to recreate it, please let the support representative know.

  • Check our Support Knowledge Base. It may be a common or easily resolved issue. Our knowledge base provides access to more than 1,000 content items in the form of How To’s and FAQ’s.

  • If an error message occurs, make a note of the error #, Stmt # and program name and then proceed to log the call.

Make sure that you have paper and a pencil to take notes. Phone holding times vary. Please be patient with us as we service all of our customers. Once you have entered the phone queue, you will get faster service by holding instead of hanging up and redialing. You may also choose to log your call on the Jonas website. This is a quick and simple way to log your call. Please attach relevant screenshots to the call or you can fax them to 905-886-8511(please remember to reference your call number). This will help expedite your issue and help us find a resolution for you quicker.

When you reach a Customer Support Rep
 

No matter how serious the issue or how long you have been on hold, please be ready to patiently describe your situation in as much detail as required. Your Customer Support Rep is there to try and correct your issue.

  • Be specific and refer to the notes that you made or any screenshots that you took.

  • Take notes that you can refer back to.

  • Be prepared to create reports that you can e-mail to us so that we can investigate further if necessary.

  • Your Rep may ask you to carry out a set of steps and then phone back if you are still having problems. If you are asked to do this, please comply and again take notes for future reference.

Release Notification – Jonas Software Version 11.8

Jonas Version 11.8 is the general release version. Since its release in October 2007, it has been thoroughly tested and proven by many of our construction clients. If you have not already updated to the most current version of Jonas, we would encourage you to make it a priority today. This newest version allows you many new features and improvements that will greatly enhance your experience with your Jonas software.

CD’s for version 11.8 will be dispatched to all Construction Clients in March through June 2008.

Did You Know?

Jonas Product Updates – Maintenance updates are recommended for all customers with the same product version. Regular updates should be installed at least every four to six weeks. They are obtained via the Jonas website. These tested improvements are made in each version when issues with the software are discovered and corrected. They may also contain customer-requested design changes or features.

Jonas Version Updates – These updates move your software from one Version to the next and can only be done via CD which will be distributed directly to each Client. A software version update replaces a prior version. You will be notified when new versions of the Jonas Software Release become available.

The current version is 11.6 and product updates for existing versions 11.4, 11.6, 11.8 are available on our website.

Becoming a Jonas Expert

The only thing standing between you as an amateur or you as an expert is dedication.

How do I cancel and reissue a check?

You can only cancel a check from a PREVIOUSLY updated pay period.

1. The first step is to set up a new pay period. You can use the same pay ending date or choose a new date.

2. Go to Manual Pay/Correct Prev. Pay and complete the following steps:

  • Enter Company code
  • Enter P/R code
  • Enter Employee code
  • Choose "Cancel an earlier issued check"
  • Enter 1 under Manual Pay # (or hit enter)
  • Enter Check number (N/A for direct deposit)

The system will now attempt to automatically cancel the check and reverse all the distributions. If the system is able to find all distributions then all amounts will appear on the screen as a confirmation.  At this point simply choose post and all amounts will be reversed.  

In order for the information to be updated to the employee's file and G/L, you must complete the payroll process as normal (i.e. Print Pay Journal, Print Cost Allocation and complete the End of Payroll update.)

If the system cannot locate all distributions and amounts to cancel a requested check # (usually due to an employee having 2 checks in one pay period), it will bring all zero's and as a result, all numbers must be entered in manually (as a negative).

If you do need to enter numbers manually, ensure you have the Pay Journal or Pay History from the check you are canceling and continue with the following steps:

  • Click on the Earnings button
  • Enter in the applicable earning codes (ie. E01 for regular earnings)
  • Enter in the distribution (where the earnings were charged to initially)
  • If hours are used, enter in the hours as a negative. If amount is used (other earnings), enter in the amount as a negative.
  • Hit enter to accept the default pay rate or change it if required. Continue to hit enter until the entry goes in the box below.
  • Repeat the previous 5 steps for any additional earnings.
  • Click on Ok and then click on the Deductions button.
  • Simply enter in all applicable deductions (enter as negative).
  • Enter memo/wage information (FUTA/SUI/Social Security/SDI wages). To enter these amounts, you can either page down further in the deduction screen to codes M01 - M04 or simply click on Ok and the system will prompt you to go to these codes.

If you are unsure as to which amounts go into these fields, refer to the pay journal or pay history. At the bottom of each employee record there is a Misc/Wages section that lists these amounts. Only enter those that are shown (again as negative amounts). For example, if FUTA wages are not shown on the Pay journal, then you do not have to enter any amount under the code for FUTA wages. It is very important that these fields are entered as they affect Quarterly Tax reporting such as the 941 report.

Once the Memo/Wage information is entered you can click on OK and then click on Post as long as the check amount and net pay are the same.

To update the record to the employee's file, you must continue through the payroll process as normal - print Pay Journal, Cost Allocation Report and End of Payroll Update.

If you need to reissue a check, do so through the normal payroll process (Employee Earnings & Deductions, Calc taxes etc.) This can be done in the same pay period as the check you are canceling. On the Pay Journal you will see the cancelled check and the new check. The details on the new check will only show when you print the check.

How can I make it so that you cannot post to a supplier?

You can make the supplier Inactive and force the person doing the entry to enter a password in order to do post to this vendor as shown below.



There are two things that you need to do to make this happen.

First, you will need to go to Accounts Payable > Files > AP Subledger Setup > Options (User) and add a Password: Override Inactive Supplier. The password is required for this which can be set up below. In order to post to this vendor and enable the restriction of the Inactive Status.



Second, you will need to go to Accounts Payable > Files > Maintains Supplier and change the Status for the Supplier to “Inactive”.

Tip of the Day

In the dispatch view code, you can select the view type "scheduler" which will automatically insert available time slots for your technician on the dispatch board.  This will help you quickly highlight what times are available for you to schedule your technician.

IS IT TIME FOR YOUR NEXT UPDATE???

It is important for Jonas users to be performing Product Updates on a regular basis to ensure that you keep your Jonas software current and problem-free. Check the website weekly as a new download is available every Tuesday and install it immediately.

CURRENT VERSION
The current version for Jonas Software is 11.6.

HOW TO UPDATE??
There are two procedures to choose from to obtain the latest Release.

  1. Downloading from the Website.
  2. Installing the Product Update from a CD.

Before You Begin:

Determine the version of Jonas that you are currently running. If you are unsure, open Jonas and check the version number located in the bottom right hand corner of the screen. Ex. Version 11.6.034 (the release .034 indicates the release level).

  1. Click on the Product Update that matches the version of Jonas software you are currently running. (Ex. 11.4 or 11.6) You cannot change versions via the website, only by loading a CD. Note that you might have to be above a specific Release level to be able to run a Product Update from the website. Notes at the side of the Product Update will tell you this.
  1. Choose the Save option. You will be presented with the SAVE AS screen display below.  Save the Product Update in the X:\GJCWIN\CUSTOM directory (where the X: is the logical drive letter that contains the Jonas programs - usually J:). Note: This is just a suggested directory, but not a mandatory location to save the Product Update. Then you can open and run it. After successful installation, log off Jonas and log back in order for the changes to take place.

 Installing the Product Update from a CD

Advanced Release versions do require all users to be out of Jonas for the introduction of new data structures. Loading an update from a CD sent by Jonas will always require all users to be out of the system regardless of the version.

  1. Jonas recommends that if you are installing on a network that the Product Update be installed from a workstation. However, if installing the Jonas Product Update via Citrix or Terminal Server, it must be installed at the server console.

Note: Some operating systems, for example Windows 2000, may require you to log onto the server with full administrator / supervisor privileges.

  1.  Locate the Product Update using any technique (e.g. Windows Explorer or via the Run command on the Start button). Double click on the saved PUxxx.exe file.
  1. Wait 5 – 20 seconds and a window will appear. Step your way through the Welcome screens by clicking on Next.
  1. Choose the Destination Directory.  If the drive is not correct, please select browse and indicate the correct location. When the correct path is shown, click on Next.
  1. The Installation Complete screen will appear upon completion of the installation.
  1. Click on the Jonas for Windows icon. The program will automatically start rebuilding the screens and data files.
