Design Your Own Forms

We have fantastic news for our Jonas client base! The much- anticipated Design Your Own Forms module is now available with your Jonas version 11.9.1672 and higher. 

This application provides you with the tools to fully exploit the latest in print and digital technology. Utilizing the flexibility of Microsoft Word editing functions, Design Your Own Forms allows users to have the final say in how they present themselves to their clients. 
In addition to controlling the basics of your forms such as font size, style, and type, you also decide which information to include and how it is displayed. Attaching artwork with your company logo and contact information is now as easy as a cut and paste. No longer will you be required to go through the quotation process to change the format of your forms – you can modify the layout yourself!
 
New templates are being added almost weekly with our regular product updates. Design Your Own Forms currently includes templates for Work Order Invoices, Purchase Orders, and Non-Progress Job Billings.  Work Order tickets and Multi-Work Order Invoices are in the final stages of testing and will be added before the end of  May.

As our Design Your Own Forms Webinars in April were met with overwhelming interest, we will be running two more complimentary webinars in May. The first is scheduled for the afternoon of May 27 from 2:00 to 3:30 pm and the second is scheduled for the morning of May 29 from 9:00 to 10:30 am Eastern Standard Time.

If you can’t wait for the Webinars to get started with this exciting new application, here are a couple helpful hints:

  1. To install Design Your Own Forms, an executable file must be run. 

           The file path is:
 Your Jonas drive:\GJCWIN\Tools\DESIGNYOUROWNFORMS\Install\setup.exe

  1. To run Design Your Own Forms, the following software is required:
  2. Jonas version 11.9.1672 or higher
  3. Adobe Reader version 8.1.3 or higher
  4. Microsoft Word Professional Edition – 2003 or 2007

Witholding Tax Changes Announcement

The following states have recently announced changes to their state withholding calculations to be taken into effect immediately:

1) California

2) New York State (including the City of Yonkers)

3) Colorado

These changes can be obtained through Regular Product Update or Payroll Only Update on the Jonas website.

 In addition the state of Arizona has also announced new withholding rates. An update from Jonas is not required for these changes. The rates must be updated manually in the Employee Files under Maintain Employee Records.

If you are currently on v 11.8 and are planning to install your v 11.9 CD, please note that you MUST download and install the most current product update for v 11.8 from the Jonas website before installing your CD.

On March 1, 2009 Jonas ventured into the world of social networking by creating a Jonas Construction group on LinkedIn. To those not familiar with LinkedIn, it is a website used by professionals from around the world to keep in touch with colleagues and business associates, recruit new talent, and learn from people both within and outside their immediate network.

The Jonas Construction group was created to allow Jonas Clients and Staff to post discussion topics and solicit ideas and feedback from across the Jonas user base.  The discussion boards are monitored by a number of experienced Jonas staff members but it is our hope that the primary value will come from Jonas users interacting with each other.

This month we are introducing you to Anne Stevenson,
Customer Support Analyst.

Anne joined the Jonas Support Team in September of 2008, bringing with her many years of accounting experience which make her an invaluable resource to our clients.

Upon completion of her B.Sc. at the University of Toronto, Anne worked for several years as a marketing analyst.  After the births of her daughters, Anne spent eight years as a stay-at-home mother.  During this time, Anne was very active as a volunteer with the Central Ontario Section of Skate Canada assuming the role of Chairperson for 6 different skating competitions.

Anne returned to the workforce as the Office Manager of a local custom homebuilder where she discovered how much she enjoyed the construction industry and the people who work in it. While employed with a large engineering firm, Anne gained valuable accounting experience in the capacity of  Assistant Accounting Manager.

Anne is a strong believer in life-long learning and to that end she continues to add to her academic résumé.  She has completed the course work for the C.H.R.P. and is about halfway through the C.G.A. program.  Always looking for a challenge, she is giving serious consideration to completing an MBA in the near future. 

When she is not at work or at school, Anne enjoys spending her summer week-ends sailing on the Great Lakes.



Q. How I do I setup Payroll for college students who are tax exempt?

A. Go to U.S. Payroll >Files >Maintain Employee Records.
In the Federal and State Withholding Allowance fields, indicate 99 if exempt from all taxes. Enter 98 if employee is required to pay City or County taxes.


Q. How do I get the Ship-to Address in a Purchase Order to default to the Job Address?

A. To accomplish this, ensure that the Ship-to override option under the P.O system profile is set to Job. Also, the job address must be entered under the addresses button in the job that is being attached to the P.O. When you are setting up a P.O, hit enter on the ship-to address field for the address to populate automatically.

If the Ship to override button is not checked or if the job address is not specified on a Job then the Ship-To address will default to the company Address.


How to use a Bookmark in Jonas

When you are working in Jonas and find you need to look up some information or add a record, for instance check a supplier code or an inventory part number, you don’t have to leave your Jonas session and open another one - just use a bookmark!  This feature can be used in any module in Jonas.

At the top of your Jonas screen, there are a number of icons displayed for your printer, calculator, etc.  There is also an icon that looks like a book which is used for quick access to bookmarks that you can set up yourself.


When you are in any Jonas application, you can simply click on the bookmark you need and it will open a mini session of Jonas just for that specific task. 

For instance, if you are posting invoices in Accounts Payable and you have need to add a new supplier, use a bookmark!  Without leaving the a/p invoice entry screen, just click on the bookmark icon and select Maintain Suppliers in the list of bookmarks.



Click on Maintain Suppliers and open that screen directly.



When you have added  your new supplier ( or inventory part, etc.) close the mini- session normally and resume posting your invoices.

To set up a new bookmark which can be done on the fly, click on the bookmark icon and select the New button.



The menu layout will display – just click through to select the menu item you want to add to your customized bookmarks.  Hit F4 to exit and now you will have a new item in your bookmark menu. 



Note that bookmarks are customized for each user on the system – your bookmark menu will be different from that of your neighbour.

IS IT TIME FOR YOUR NEXT UPDATE???

It is important for Jonas users to perform Product Updates on a regular basis to ensure that you keep your Jonas Software current and problem-free. Check the website weekly as a new download is available every Tuesday. It is advisable to install it immediately.


CURRENT VERSION
The current version for Jonas Software is 11.9.


HOW TO UPDATE??
There are two procedures to choose from to obtain the latest Release.

  1. Downloading from the Website.
  2. Installing the Product Update from a CD.

Before You Begin:

Determine the version of Jonas that you are currently running. If you are unsure, open Jonas and check the version number located in the bottom right hand corner of the screen. Ex. Version 11.6.034 (the release .034 indicates the release level).

Downloading the Product Update from the Website

  1. Click on the Product Update that matches the version of Jonas software you are currently running. (Ex. 11.4 or 11.6) You cannot change versions via the website, only by loading a CD. Note that you might have to be above a specific Release level to be able to run a Product Update from the website. Notes at the side of the Product Update will tell you this.
  1. Choose the Save option. You will be presented with the SAVE AS screen display below.  Save the Product Update in the X:\GJCWIN\CUSTOM directory (where the X: is the logical drive letter that contains the Jonas programs - usually J:). Note: This is just a suggested directory, but not a mandatory location to save the Product Update. Then you can open and run it. After successful installation, log off Jonas and log back in order for the changes to take place.

Installing the Product Update from a CD
Advanced Release versions do require all users to be out of Jonas for the introduction of new data structures. Loading an update from a CD sent by Jonas will always require all users to be out of the system regardless of the version.

  1. Jonas recommends that if you are installing on a network that the Product Update be installed from a workstation. However, if installing the Jonas Product Update via Citrix or Terminal Server, it must be installed at the server console.

Note: Some operating systems, for example Windows 2000, may require you to log onto the server with full administrator / supervisor privileges.

  1.  Locate the Product Update using any technique (e.g. Windows Explorer or via the Run command on the Start button). Double click on the saved PUxxx.exe file.
  1. Wait 5 – 20 seconds and a window will appear. Step your way through the Welcome screens by clicking on Next.
  1. Choose the Destination Directory.  If the drive is not correct, please select browse and indicate the correct location. When the correct path is shown, click on Next.
  1. The Installation Complete screen will appear upon completion of the installation.
  1. Click on the Jonas for Windows icon. The program will automatically start rebuilding the screens and data files.
We will be releasing CD's to our clients for Version 11.9 in the next few months.  This general release will help you grow and benefit from greater functionality with your Jonas Software by providing a seamless migration path. We anticipate a dispatch of 11.9 to all clients by the end of May 2009.

Your Jonas Software system update may include modifications, new or revised settings, key features and other items which will change your current system. We encourage you to check the release and enhancement notes from time to time for software updates and to always maintain your system to use the latest release of the software. (Administration>Release Enhancements)
